    Arrival & staging

    Arrive at venue at least 2.5 hours before service. Unload equipment and place buffet tables in the planned layout. Cover tables with tablecloths and position chafing dishes where hot items will go. Place signage holders at corresponding dish locations.

    Set up chafing & warming

    Set chafing dishes in place and insert full-size steam pans. Place chafing fuel cans under each chafing holder and light them just before food transfer. If using a warming oven/hot box, plug in and set to 140–150°F (60–65°C) to hold items that will go out later.

    Service station prep

    Arrange serving utensils next to each pan. Set up condiment station with sauces, condiments, napkins, and cutlery. Place drink dispensers on a separate table with ice nearby. Position trash bins and hand sanitizer in visible, accessible locations.

Food Components (for approximately 100 guests)

    Food arrival & temperature check

    Receive all hot and cold food from kitchen/transport. Verify temperatures on delivery: hot items should be ≥140°F (60°C); cold items ≤41°F (5°C). If any item falls outside safe range, either reheat or chill immediately per food-safety rules.

    Plating & placing on buffet

    Transfer smoked pulled pork, sliced brisket, and grilled chicken into their assigned steam pans. Keep meats covered until placed on chafing. Place hamburger patties and hot dogs in pans or on platters and cover. Arrange buns and rolls in baskets with liners. Set salads, sides (macaroni, potato salad, coleslaw, baked beans) into cold pans and place over ice wells or on chilled tables.

    Holding & rotation

    Light chafing fuel and slide each pan into the chafing dishes. Monitor fuels to maintain temperature; replace cans as needed. Stir baked beans and mac & potato salads occasionally to keep even temperature. Replenish corn on the cob and dessert trays from reserve pans as guests are served.

    Labeling & allergen info

    Place signage in holders labeling each dish and noting common allergens (dairy, gluten, nuts) and vegetarian items. Keep dressings and condiments labeled and separate to avoid cross-contact.

    Beverage service

    Fill drink dispensers and top with ice if needed. Replenish ice frequently and keep spare coolers with extra ice on hand.

Service Flow & Staffing

    Guest service

    Begin service at scheduled start time. Assign attendants to monitor the buffet line: one at the start to guide flow and answer questions, two along the line to refill pans and replace utensils, and one at the end to manage desserts and return dirty plates if applicable. Staff should wear gloves and change them regularly; use hand sanitizer between tasks.

    Portioning guidance

    Advise attendants to follow portion guidelines: ~5 oz cooked meat per guest average (adjust based on menu mix), 4–6 oz per side dish per guest. Keep serving utensils sized appropriately to control portions and reduce waste.

    On-site cooking (if required)

    If final grill work is requested, have the chef or on-site cook manage a small grill station. Cook burgers/hot dogs to safe internal temperatures (burgers 160°F/71°C, chicken 165°F/74°C) and transfer to covered pans for service immediately.

Clean-up & Break-down

    Pre-clean

    Begin clearing buffet 15–30 minutes after service end: remove any uncovered or perishable food to either coolers (for safe transport back) or discard per client instructions. Wipe down serving surfaces and replace liners in trash bins as needed during service to minimize end-of-event load.

    Equipment break-down

    Extinguish chafing fuel cans carefully and allow metal to cool. Remove steam pans and stack for washing or transport. Collapse tables if rental agreement requires and pack tablecloths, signage, and utensils into designated service crates.

    Final cleaning

    Collect trash and replace liners. Sweep or vacuum area if necessary. Load all rental equipment and leftover service supplies into the vehicle. Conduct a final walk-through with the client or venue contact to confirm areas are clean and any special instructions are noted.

    Staff debrief & inventory

    Once packed, have staff tally used and unused disposable items, remaining food, and any damaged equipment. Record fuel and supply usage for future planning and report to operations.

Staffing

    Schedule staff to arrive with staggered times: chef/on-site cook 3 hours prior, service attendants 2.5 hours prior, bus person 1 hour prior. Assign roles and communicate the timeline and menu details before arrival. Ensure all staff check in, wear name tags if required, and understand allergy-handling procedures.
