    Plan layout

    Measure the reception lounge space and sketch a simple floor plan. Allocate zones for seating, standing/mingling, beverage service, and reception desk near the entrance. Leave clear circulation paths (36–42 inches) between furniture clusters.

    Place large furniture

    Position the sofas and armchairs into 2–3 conversation groupings. Center each grouping around a coffee table and anchor with an area rug. Ensure at least one group faces the entry so guests feel welcomed.

    Add tables and lighting

    Distribute side tables and table lamps beside seating for guest convenience. Place floor lamps in darker corners and arrange battery candles on coffee and side tables for warm ambient light. Ensure lamps are plugged in or batteries checked.

    Accessorize

    Scatter accent pillows and throw blankets on sofas and chairs for comfort. Hang artwork at eye level (center ~57 inches from floor). Position large plants to frame seating areas and small plants on side tables for greenery.

    Reception station

    Set up the reception console near the entrance with a welcome sign, tray containing the guest list and pens, and a guest book or notepad. Place coat rack/valet nearby but out of the main traffic flow.

    Final check

    Walk the space as a guest to verify sightlines and circulation. Remove or reposition any obstructive items and ensure furniture is stable and clean.

Beverage & Glassware Setup

    Glassware and ice

    Polish and arrange the champagne flutes/wine glasses and water glasses on a side console or service cart. Fill ice buckets and set near the beverage station, with tongs available.

    Beverage placement

    Group drinks by type on the beverage table: still and sparkling water, nonalcoholic juices, white and red wines, and champagne. Place bottles on chilled trays or in buckets of ice as needed. Keep garnishes on a small platter with utensils.

    Service supplies

    Stack beverage napkins and small plates within easy reach. Place extra glasses and spare bottles nearby for quick replenishment. Ensure servers know the locations of the ice buckets and extra beverage stock.

    Service stations

    Position high-top cocktail tables around the perimeter to encourage mingling. Keep trays and service supplies (aprons, name tags) at the reception console or a discreet service table for staff access.

    Staff briefing

    Brief servers on arrival flow, expected guest count, allergens, and where to replenish drinks and used glassware. Assign one staff member to monitor the reception desk and one to oversee beverage replenishment.

    Ambience and maintenance

    Start ambient music at a low conversational level and test microphone if announcements will be made. Place sanitizer dispensers conspicuously and empty trash receptacles as needed. Replace or relight battery candles shortly before guests arrive.

    Open the reception lounge 30–45 minutes before reservation time to allow staff to finalize setup. Have the reception console staffed at opening to welcome arriving guests and direct them to the dining room or seating.
