    Position the long dining table centered in the room so it comfortably seats up to 18 guests. Arrange 9 chairs on each side or a mix of side and end chairs depending on layout. Ensure at least 24 inches of space per guest for comfortable seating.

    Dress the table

    Lay the table linen evenly, smoothing wrinkles. Place a runner down the center if using. Set 18 place settings: dinner plate centered 1 inch from the edge, napkin folded or in a napkin ring, fork(s) to the left, knife and spoon to the right, and glassware above the knife. Add name cards or menus at each setting.

    Add centerpieces

    Arrange three low centerpieces evenly along the table so sightlines are clear. Secure floral arrangements or sculptural elements so they won't tip or obstruct conversation.

Audio/Visual & Ambience

    Lighting

    Set overhead dimmable lighting to a warm, comfortable level (around 50–60% brightness) before guests arrive. Test any accent lights to ensure even illumination without glare on the table or the sliding glass doors.

    Sliding doors & privacy

    Keep the sliding glass doors closed to maintain privacy or open slightly if a visual connection to the dining room is desired. Adjust blinds or curtains to control sightlines and ensure guests are comfortable with the level of visibility.

    Music and AV

    Connect the background music source and set a playlist at low volume to allow easy conversation. If a microphone will be used, test sound levels and speaker placement in the room to avoid echoes or feedback.

Service & Kitchen Connectivity

    Coordinate with kitchen

    Confirm the adjacent kitchen access route is clear for servers. Designate a server staging area near the service door for plating, warming, and final garnishes so dishes can be delivered hot and efficiently.

    Set up server station

    Arrange a server station with water pitchers, serving trays, condiments, and spare flatware near the door but out of guests' sightlines. Place warmers or chafing units there for any plated items that need short-term holding.

    Beverage station

    Set up the beverage station with coffee, tea, and water. Ensure cups, sugar, creamers, and stirrers are stocked. If table service for drinks is planned, brief servers on timing and refill expectations.

    Verify HVAC is set to a comfortable temperature (typically 68–72°F / 20–22°C). Check ventilation to ensure fresh airflow and address any hot or cold spots prior to guest arrival.

    Confirm that at least one clear path to the exit is maintained and free of trip hazards. Place hand sanitizer and wipes at a discreet but accessible location. Ensure staff know sanitation protocols for clearing and resetting the room.
