Event Space Setup — General Supplies
Room layout and arrival
Confirm final guest count and desired layout with event manager. Arrive at venue at least 3 hours prior to start. Unload tables, chairs, linens, centerpieces, and all general supplies near the designated room.
Place six 6ft folding tables in the agreed configuration (e.g., 6 banquet tables: 3 on each side or rows depending on flow). Ensure 6ft spacing between table centers for comfortable circulation.
Open and drape each table with the selected table linens, smoothing and ensuring equal overhang on all sides (typically 8–10 inches).
Set charger plates at each seat position (48). Position napkin and place card (if used) centered on each charger. Lay out cutlery: fork on left, knife and spoon on right.
Place water and wine glasses above the knife position for each place setting. Position centerpiece in center of each table; keep low-profile centerpieces below 12 inches to maintain sightlines.
Position trash receptacles discretely near exits and catering stations, and line with trash bags.

Hold a 20-minute pre-event briefing with all staff 30 minutes before doors open. Confirm arrival times, roles (who greets, who manages buffet, bar assignments), emergency procedures, and timeline for speeches or programmed activities.

Event manager should have printed timeline, vendor contact list, and a floor plan with guest count. Keep communication open via headsets or cell phones as needed.
