Reserve and configure space
Reserve a space appropriate for the group size. Arrange tables and chairs in a configuration that supports the planned activities (circle for discussion, clusters for small groups, open floor for physical activities). Ensure clear sightlines to the flip chart or projector.
Make materials accessible
Place markers, sticky notes, pens, name tags, and printed prompt cards on a central table or distribute to each table. Set up the flip chart/whiteboard with a marker ready. Position the timer where the facilitator can easily see it.
Set boundaries and stations
If activities require zones, use rope or tape to mark boundaries or stations. Label each station with a sign or large paper sheet describing the activity and the materials available there.
Icebreakers & Warm-up
Briefly welcome the group, explain the aims of the session, and invite participants to write their names on name tags and place them on their chests. This reduces awkwardness and supports communication.
Two Truths and a Lie
Give each person an index card. Ask everyone to write two true statements and one false statement about themselves. In small groups (4–6 people), each participant reads their three statements while others guess the lie. Allow 15–20 minutes total depending on group size.
Speed introductions (optional)
If time is limited, run a 5–10 minute speed-intro round: participants pair up for 60–90 seconds to share their name, role, and one interesting fact, then rotate.
Team-building Activities
Marshmallow Challenge (adapted without food)
Divide participants into teams of 4–5. Provide each team with 5 index cards, a roll of yarn or string, and a set of markers. Challenge: build the tallest freestanding structure using only the provided materials in 20 minutes. Use the timer. After time is up, measure heights and debrief for 10 minutes on teamwork and strategy.
Human Knot
Groups of 8–12 stand in a circle, reach across to grab hands of different people, creating a tangled 'knot.' Without releasing hands, the group must untangle into a circle. Allow 10–15 minutes and a facilitator to observe safety and mediate if needed.
Line Up Without Speaking
Ask the group to line up according to a criterion (birth month, years of experience, distance from workplace) without speaking. They may use gestures, written notes on index cards, or body language. Use rope/tape to mark the line. Debrief for 5–10 minutes about nonverbal communication.
Problem-solving & Brainstorming
Challenge Prompt Stations
Set up 3–4 stations with printed prompt cards that present a problem or scenario related to your group's goals. Give teams 12–15 minutes per station to brainstorm and record ideas on large paper sheets using markers and sticky notes. Rotate teams and collect outputs for a group share.
Dot Voting & Prioritization
After brainstorming, give participants sticky notes or dot stickers (or use markers) to vote for the top 3 ideas. Use the flip chart or whiteboard to tally votes and identify priority actions. Discuss next steps for the top-voted ideas for 10–15 minutes.
Wrap-up & Follow-up
Group reflection
Reconvene the whole group. Ask 3 quick reflection prompts (What worked? What surprised you? One action you’ll take?). Capture responses on the flip chart or large paper. Allow 10–15 minutes.
Collect all materials, take photos of important flip-chart outputs, and summarize agreed next steps. Distribute small prizes or tokens if used. Tell participants where they can find session notes and who to contact for follow-up.
Clean up
Return the room to its original layout, dispose of or store used materials, and ensure refreshments area is tidy. Thank participants for their time and participation.
Optional AV & Refreshments
If using a projector or speakers, test equipment before participants arrive and have adapters/cables ready. Set out water, coffee/tea, and snacks in a self-serve area; remind participants to take only what they need to minimize waste.
