Collect the client brief: Obtain project goals, target audience, desired tone, pricing details, and any deadline constraints. Confirm the scope covers data entry, professional formatting, brand design, use of client images, and one revision round.
Gather brand assets: Request logo files (vector preferred), color hex/CMYK values, font names or files, and any existing brand guidelines. Verify licensing for fonts and images.
Receive menu content and images: Ask the client to provide item names, descriptions, and prices in a spreadsheet or document. Request high-resolution images (minimum 150–300 DPI) and label them to match menu items.
Obtain layout inspiration: Ask the client for preferred examples, noting layout, hierarchy, and style preferences to guide composition.
Design & Formatting
Set up document
Open your chosen design application and create a new document sized for the menu format (e.g., 8.5x11 in, A4, or custom dimensions). Set margins, bleed (0.125 in / 3 mm), and columns according to the chosen layout.
Import brand assets
Place the logo, load brand fonts, and set color swatches using the provided hex/CMYK values. Create paragraph and character styles for headings, item names, descriptions, and prices to ensure consistent professional formatting.
Prepare images
Open images in the image editor. Crop, color-correct, and optimize resolution for print or web as required. Export web-optimized copies (72 DPI) and print copies (300 DPI). Place images into the layout, aligning them with corresponding menu items and maintaining consistent margins and aspect ratios.
Data entry
Copy the menu content into the template using the predefined styles. Ensure consistent spelling, punctuation, and price formatting. Align prices using tabs or tables for a clean right-aligned price column. Check for orphaned lines and adjust leading/tracking for readability.
Professional formatting
Apply hierarchy: headings, section dividers, item names (prominent), descriptions (subtle), and prices (consistent alignment). Add decorative elements from the brand (lines, icons) and ensure sufficient white space. Run a spellcheck and read the menu aloud to catch awkward phrasing.
Production & Delivery
Export deliverables: Generate print-ready PDF (CMYK, 300 DPI, with bleed and crop marks), web-optimized PDF (RGB, reduced file size), and high-resolution PNG or JPEG images for online use. Include the editable source file (InDesign .indd, Figma file, or layered PDF) for client use.
Client review and revisions: Submit the initial mockup to the client with clear instructions for feedback. Collect one consolidated round of feedback. Make the requested changes, re-check formatting and image placement, and prepare final exports.
Hand off final files: Provide the client with all exported files and the editable source file. Include a brief usage note (font licensing reminders, recommended print settings). Confirm client satisfaction and mark the project complete.
